Rules & Regulations
Aspen Racquet Club, LLC ("ARC")
Players must check in at the front desk before playing. Tennis attire is preferred, but not required. Non-marking sole tennis shoes are required on the courts. No smoking is allowed on the premises. Children under 12 years old who are not participating in a club program must be accompanied by an adult at all times. No guns or other weapons and illegal substances are permitted on Club’s premises.
All members and guests will be required to sign a medical release and a liability waiver prior to being able to use the ARC facilities and participate in any programs or activities at the Club.
Good court etiquette must be practiced at all times. Please silence your mobile devices on the tennis courts and in the gym/fitness facilities. No phone conversations on the tennis courts or in the gym/fitness facilities. Please refrain from using any profanities on the tennis courts or in the Club.
Court reservations to play tennis may be made up to 7 days in advance. Permanent court time can be made prior to the indoor season or at any time during the season as openings permit. Court reservations are made in 30 minute increments. Specific court requests are not guaranteed and are
subject to change without notice at the sole discretion of the Club.
Court reservation, private/semi-private and hit with a pro lessons, drop-in program reservations, and golf simulator reservations must be cancelled at least 24 hours in advance. If not, your account will be charged. There are no cancellations on permanent court time, clinics or camps.
ARC has a ball machine for rent. The user pays the court fees, along with a fee for use of the ball machine. Balls are included with the ball machine rental. Specific court requests are not guaranteed and are subject to change without notice at the sole discretion of the Club.
ARC offers golf simulator rental to its members. Only the specified number of players in the booking confirmation are permitted in the simulator area unless otherwise arranged with the ARC. The rental for the simulator is based on the number of hours and number of golfers. All fees are billed to the
members named on the reservation. Guests under 16 years of age must be accompanied by an adult member. Reservations are held until 15 minutes after the starting time. No-shows, late arrivals and cancellations inconvenience ARC, its members and our other guests as well. A no-show results in
cancellation of the member reservation and being charged for the full charges along with the reservation time being released. Specific court requests are not guaranteed and are subject to change without notice at the sole discretion of the Club.
Programs are offered in monthly sessions. If fewer than two participants sign up for a program, the club reserves the right to cancel the program and issue a refund. The club does not charge drop-in fees but pricing is based on number of classes within a session being attended. Club does not issue credit or refunds for missed classes. A class can be made-up within two weeks of original date.
All memberships (except Summer Memberships, see below for more information) are for one year commencing from the day you join. Membership renewal will be automatic on the anniversary of the contract unless cancelled by a member by sending written notice to ARC prior to expiration of the membership term. It is the member’s responsibility to notify the club of membership termination.
- Junior/U10 Memberships: Juniors (under 18 of age) can only become members with a parent or legal guardian as a signatory, who then also become bound by the Club’s membership agreement and rules and regulations.
- Summer Membership: A seasonal membership valid from Memorial Day to Labor Day. A Summer Membership must be paid for in full with application and does not renew automatically.
Conduct
ARC reserves the right to suspend a service, contract, membership or member/guest if the member/guest is disruptive or abusive to fellow club or staff members, causes damage to the facility or does not follow club policies. In such case the member/guest will not be entitled to any refund, credit or reimbursement. ARC also reserves the right to terminate the membership for any reason whatsoever upon written notice and a refund of the pre-paid dues, if any.
Usage Guidelines / Damage Policy
ARC reserves the right in its sole discretion to suspend or terminate your membership and/or this Agreement, if you or your guests are disruptive or abusive to fellow members or staff, cause damage to the facility or do not follow Club policies and Rules and Regulations. Upon any such suspension or termination, you will not be entitled to any refund, credit or reimbursement. You are financially responsible for any damage caused to the facility, equipment, or property caused by you or your guests.
Membership Benefits:
• Free one-hour lesson (one lesson with individual and two lessons with family or couple’s memberships)
• Free ball machine rental (1/2 hour with individual and one hour with family or couple’s memberships)
• Right to reserve open court time
• Access to club gym facility
• Eligibility to play on club-sponsored USTA and inter club teams
• Courtesy house charge account
• Access to member events
Summer Memberships do not include a free lesson or free ball machine rental.
Social and Pickleball Memberships do not include a free lesson or free ball machine rental or tennis court privileges.
Membership Fees; Credit Card/EFT Authorization;
Account Statements:
Memberships are annual (except for Summer Memberships) and can be paid in full with application or paid in 12 equal monthly payments. Paying for the membership in full provides savings of approx. 15% over the monthly payments. Even if a member chooses the monthly payment plan, they still
committed to a full year of membership. If you elect to pay monthly, your monthly fee and any other applicable charges will be automatically billed and collected electronically on the same day of each month, regardless of when your membership commenced, until your membership is cancelled as provided in the Membership Agreement. Memberships are not refundable or transferable except as expressly provided for in the Membership Agreement. Membership fees, types and services may be modified from time to time by ARC. Any membership fees changes will take place upon renewal of a membership. Membership fees will be charged on the 15th of the month they are due regardless of when you started your membership.
Summer Membership is a seasonal membership valid from Memorial Day to Labor Day. A Summer Membership must be paid for in full with application and does not renew automatically.
ARC offers complimentary house accounts to each of its members but each member must have a credit card or EFT on file with ARC. ARC accepts VISA, MasterCard, Discover and American Express credit cards. Your account statement will be emailed to you at the beginning of each month (generally the 1st day of the month) and your account will be settled on the credit card or EFT on file within 10 days after the statement is issued (generally the 11th day of the month). ARC will charge a convenience fee of 3% ($1 minimum) if you choose to settle your balance with a credit card. Any adjustments or corrections to a monthly account statement will be reflected on the subsequent monthly account statement via a credit or refund. You agree to promptly notify ARC of any credit card or EFT information changes such as card/account number, routing number, expiration date, name change or CVC code. In the event your account is turned over for collection due to non-payment you agree to pay all reasonable attorneys’ fees and collection costs. Any unpaid balances past due will bear interest at the lesser of 1.5% per month or the highest rate permitted by applicable law.
Guests are required to pay all applicable fees at the time of using the facility via cash, check, or credit or debit card.
Guests
Guests are welcome at ARC. Our guest policy is to encourage our members to bring guests to the Club so they can experience the club and to decide if they are interested in becoming members. All guests must sign in at the front desk. An adult guest playing tennis will pay a $8 per-visit guest fee and applicable court fees. A junior guest playing tennis will pay a $5.00 per-visit guest fee and applicable court fees. All guests are required to pay all applicable fees at the time of using the facility. Members who choose to discontinue their membership cannot come in as guests and will have to sign up for a membership in order to play at the club.
Gym/Fitness Facilities
Members (except pickleball members) and paying guests can use the fitness facilities at no additional charge at their own risk.
Risk of Injury
Members also agree that participation in tennis, pickleball, fitness, golf simulators or any sport, as well as exercising in the gym subjects the player to possible injury. Members agree, and parents or guardians of minor agrees, by participating in ARC’s activities that ARC, its affiliates, and their respective
officers, owners, employees, agents and representatives and contractors shall have no liability for personal injury to any members, their guests, or invitees.
Loss of Personal Possessions or Accidents
ARC is not responsible for any cash valuables or personal property brought to the Club.
Childcare Services
Childcare services may be provided at the Club from time to time. Please call ahead to arrange childcare at the Club.
Hours of Operation
Please check the Club website or call the Club for hours of operation. Hours of operation may change depending on season. The Club is closed on July 4th, Thanksgiving, Christmas Day and New Year’s Day.
Pro Shop
Full price pro shop merchandise may be returned if unused, with proof of purchase, up to 14 days from purchase date for a full refund. Merchandise purchased with gift cards can be returned if unused, with proof of purchase, up to 14 days from purchase date for store credit.
Racquet Demo Policy
ARC carries a large selection of demo racquets that are available onsite for trial, free of cost to members. You must sign the racquet out at the front desk before using. Guest must pay demo fees to use the club’s demo racquets.
Lockers & Towel Service
The club provides complimentary lockers to be used on a first come first serve basis for your convenience. Lockers automatically unlock after 4 hours. No overnight storage is allowed. No storage of perishable food items, illegal substances or guns are allowed. ARC shall not be liable for the loss of or theft of, or damage to, the personal property of members or guests, including items left in lockers, with the coat check or elsewhere in the Club. The Club also provides complimentary towels for the convenience of its members and guests.
